2. Konto und Inhalte

Konto:

  • E-Mail-Adresse und Passwort;
  • Anzeigename, Sprache und Zeitzone;
  • Tarif und Testzeitraum;

  • die Dateien, die Sie hochladen, und daraus erstellte Fassungen;
  • der erkannte Text und daraus entnommene Angaben wie Daten, Fristen, Beträge, Namen, Anschriften, Konto-, Steuer- und Vertragsnummern;
  • Ihre Chats und die darin erstellten Dateien;
  • Kalendereinträge, Aufgaben und Erinnerungen;
  • Projekte und Dossiers;

  • Ihre Zugangsdaten, bei Gmail eine von Ihnen erteilte Berechtigung zum Lesen und Verwalten Ihrer E-Mails, ohne dauerhaftes Löschen;
  • eine Kopie Ihrer E-Mails der letzten 180 Tage mit Absender, Empfängern, Betreff, Datum, Ordnern und Text;
  • Anhänge, die Sie öffnen oder ablegen;

  • je KI-Anfrage der Umfang der Nutzung, bei Sprachfunktionen die Dauer, nicht aber der Text der Anfrage;
  • technische Protokolle der KI-Verarbeitung;
  • Anmeldeprotokolle (Zeitpunkt, IP-Adresse);
  • Protokolle über interne Zugriffe;

  • die Anmelde-Cookies „sb-<project>-auth-token“, die Sie angemeldet halten, bis Sie sich abmelden, höchstens 400 Tage;
  • das Cookie „anamosa_gate“ (30 Tage), das in der Testphase festhält, dass Sie den Zugangscode eingegeben haben;
  • das Cookie „today_cal“ (1 Jahr), das die von Ihnen gewählte Kalenderansicht speichert;
  • im Speicher Ihres Browsers Ihre Anzeige-Einstellungen sowie, für die Dauer der Browsersitzung, das geöffnete Gespräch, ausgeblendete Hinweise, Anzeigeoptionen und den Stand laufender Uploads;

This notice covers the website anamosa.ai and the Anamosa web app and mobile app.

1. Website, contact and survey

  • Visiting the website: our hosting provider processes your IP address and browser and access data in server logs to operate the website securely and reliably (Art. 6(1)(f) GDPR). We count page views for statistics without storing IP addresses or identifiers.
  • Contact form: we process your name, email address and message, and your phone number and organisation if you give them, to answer your enquiry (Art. 6(1)(f) GDPR; Art. 6(1)(b) GDPR for contract-related enquiries). We cannot reply without an email address.
  • Survey: taking part is voluntary. We evaluate your answers to decide which features to build (Art. 6(1)(f) GDPR). We link your email address to your answers only with your consent, to invite you to the beta and to contact you about your feedback (Art. 6(1)(a) GDPR); we keep the time and wording of your consent as proof.
  • Contact list: if we point you to the survey or the beta in person or through LinkedIn, we keep your name, company, position, the link to your profile, your email address if we have it, our notes and when we approached or invited you, to find test users without approaching anyone more than once (Art. 6(1)(f) GDPR). If you sign up, we link the entry to your account. The details come from your public professional profile, from our connection with you or from the survey.

2. Account and content

Account:

  • email address and password;
  • display name, language and time zone;
  • plan and trial period;
  • time of sign-up and of last sign-in.

We process these details to provide and manage your account and to support you as a user (Art. 6(1)(b) GDPR). The email address and password are required.

Your content:

  • the files you upload and versions created from them;
  • the recognised text and details taken from it, such as dates, deadlines, amounts, names, addresses, and account, tax and contract numbers;
  • your chats and the files created in them;
  • calendar entries, tasks and reminders;
  • projects and dossiers;
  • details Anamosa remembers from your conversations.

We process them to store, organise and search your records, answer your questions and prepare documents and forms for you (Art. 6(1)(b) GDPR). Memory is part of the service and switched on from the start; you can pause it in Settings.

Connected email accounts: if you connect a mailbox at GMX, WEB.DE, T-Online or Gmail, we process:

  • your access credentials (for Gmail, the permission you grant to read and manage your email, which excludes permanent deletion);
  • a copy of your emails from the last 180 days with sender, recipients, subject, date, folders and text;
  • the attachments you open or file;
  • your drafts, reply and attachment suggestions and records of sent emails.

This lets you read, search and answer email in Anamosa and file attachments with your documents (Art. 6(1)(b) GDPR). An AI drafts reply suggestions from the conversation concerned; you send every email yourself through your provider. Unless you switch it off (and never for Gmail), Anamosa checks the attachments of new emails for documents worth keeping — and, at your request, the attachments of older emails back to a date you choose. For this, the subject, sender, recipients, date and file names are assessed, also by an AI. Likewise, unless you switch it off (and never for Gmail), Anamosa searches the mailbox to answer a question you ask in chat about your mail, and shows you the messages it read; for this, the text of the copied emails is also made searchable by meaning (section 3).

Voice features: when you start Voice Mode or dictation, your microphone audio is transmitted to a speech service (section 5). We do not store the audio; what was said appears as text in your chat (Art. 6(1)(b) GDPR).

Usage and log data:

  • for each AI request, the amount used (for voice features, the duration), but not the text of the request;
  • technical logs of AI processing;
  • sign-in logs (time, IP address);
  • logs of internal access;
  • server logs of our hosting providers with IP address and access data.

We record the amount used for your allowances and for billing (Art. 6(1)(b) GDPR), and keep the logs to secure the service, fix faults and prevent misuse (Art. 6(1)(f) GDPR).

Statistics: we analyse account and usage data in aggregate to improve Anamosa and to manage our business (Art. 6(1)(f) GDPR). The evaluation takes place only on our servers in the European Union; the data is not passed on to third parties. Content is not evaluated for this. You can object to the evaluation of your usage under Settings → Privacy.

Google user data: Anamosa's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. Gmail data is not used to train AI models.

Special categories of personal data: your records may contain health data (for example medical letters) or reveal religious affiliation (for example through church tax). We process such data only to provide the service, and on the basis of your explicit consent (Art. 9(2)(a) GDPR), which you give separately when you register. Because it is not possible to tell which records contain such data, we cannot provide Anamosa without this consent. You can withdraw it at any time under Settings → Privacy with effect for the future; the lawfulness of processing up to the withdrawal is not affected. Withdrawal closes your account, which is deleted after 30 days (section 7); until then you can consent again and keep your account.

Other people's data: your records and emails often contain data about other people, such as senders, contracting parties or family members — names, contact details, the content of letters, amounts, contract or account numbers and whatever else the records state. We process it only to perform the functions you use, and for as long as the records are stored (Art. 6(1)(f) GDPR: your interest in managing your own records and correspondence). The rights in sections 9 and 10 apply to these people too.

We ourselves access the content of your documents, chats and emails only if you ask us to in a support request, if it is necessary to investigate a security incident or misuse, or if we are legally obliged to.

3. AI services

To recognise the text in your documents, to classify and translate them and make them searchable, to extract details, answer your questions, create texts, email replies, forms and images, and convert speech to text and text to speech, we use AI models from the providers named in section 5. For each task we transmit only the content it needs, such as a document or an email, relevant passages, your question and the conversation so far. The providers process it as processors (Art. 28 GDPR); where they keep content to detect misuse (section 7), they do so under their contract terms. We do not use your content to train AI models.

Web search: where an answer needs current information, a search query formed from your question is sent to Google Search. Search queries may contain personal data and may also be processed outside the European Union (section 6).

Automated individual decision-making, including profiling, within the meaning of Art. 22 GDPR does not take place.

4. Cookies and device storage

We store information on, or read it from, your device only where strictly necessary to provide the service you expressly requested (section 25(2) no. 2 TDDDG):

  • the sign-in cookies “sb-<project>-auth-token”, which keep you signed in until you sign out, 400 days at most;
  • the cookie “anamosa_gate” (30 days), which records during the test phase that you entered the access code;
  • the cookie “today_cal” (1 year), which stores the calendar view you chose;
  • in your browser's storage, your display settings and, for the browser session, the open conversation, dismissed hints, display options and the state of running uploads;
  • in the mobile app, your sign-in and your appearance setting in the device's protected storage, and files you upload or share, until they are transferred or no longer needed.

5. Recipients

We use the database, file storage, sign-in and server functions of Supabase (Supabase Pte. Ltd., 65 Chulia Street #38-02/03, OCBC Centre, Singapore 049513). We have concluded a data processing agreement with the provider under Art. 28 GDPR. The provider is certified under the EU–US Data Privacy Framework. More information: https://vercel.com/legal/privacy-notice

Processing takes place on servers in the European Union; web search is not limited to the European Union. We have concluded a data processing agreement with the provider under Art. 28 GDPR. The provider belongs to the group of Google LLC, USA, which is certified under the EU–US Data Privacy Framework. More information: https://cloud.google.com/terms/cloud-privacy-notice

We use Mistral AI (Mistral AI SAS, 15 rue des Halles, 75001 Paris, France) for text recognition and document conversion. The provider processes the files you upload or file from emails, to recognise their text and structure. Processing takes place on servers in the European Union. We use Microsoft 365 for our mailbox and Microsoft Azure as the backup service for speech processing (Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland). The provider processes the messages from the contact form and emails to info@anamosa.ai and, when Azure is used as the backup service, your microphone audio and the content of the voice conversation. Processing takes place on servers in the European Union. We have concluded a data processing agreement with the provider under Art. 28 GDPR. The provider belongs to the group of Microsoft Corporation, USA, which is certified under the EU–US Data Privacy Framework. More information: https://www.microsoft.com/en-us/privacy/privacystatement

More information: https://www.brevo.com/legal/privacypolicy/

If you connect a mailbox, your email provider (GMX, WEB.DE, T-Online or Google) is also a recipient; it processes your email under its own responsibility.

6. Transfers to third countries

We store your account and content in Frankfurt am Main, Germany, and use locations in the European Union for AI processing. A transfer to third countries takes place for web search and may take place for operation, maintenance and support by the providers in section 5 that are based in, or belong to groups based in, the United States or Singapore. It relies on the European Commission's adequacy decision of 10 July 2023 on the EU–US Data Privacy Framework (Art. 45(3) GDPR) where the recipient is certified under it, and otherwise on the European Commission's standard contractual clauses (Art. 46(2)(c) GDPR; published at https://eur-lex.europa.eu/eli/dec_impl/2021/914/oj).

7. Retention and deletion

  • Account, content and usage data: until you delete them or your account is deleted. Deleted documents and tasks stay in the trash until you empty it. We then delete a document together with its recognised text, its search index and the details Anamosa took only from it; chats, calendar entries and reports in which it was used, and details you confirmed, stay until you delete them. A deleted chat is deleted together with what Anamosa remembered from it; details you changed, pinned or saved as your own stay until you delete them.
  • Connected email accounts: we remove emails older than 180 days from our copy within 31 days, and emails deleted at your provider within 8 days after Anamosa detects the deletion when it syncs — except emails of a conversation in which you are writing a draft. Fetched attachments are deleted 31 days after they were last opened, sent or discarded drafts and their reply suggestions 31 days later, attachment suggestions after 180 days at the latest, records of sent emails after 181 days. When you disconnect an account, we delete the credentials at once, the emails within 24 hours and the records after 31 days.
  • Files for download (exports, data archives, converted and translated documents): after 8 days at the latest; read-aloud audio after 2 hours at the latest.
  • Logs: technical logs of AI processing 31 days; server logs of our hosting providers 30 days at most; sign-in logs (time, IP address) 30 days; database backups 7 days; logs of internal access 12 months.
  • AI providers: they may keep transmitted content for up to 30 days to detect misuse and to fix faults.
  • Contact form: until your enquiry is dealt with, 12 months at most.
  • Survey: free-text answers and email addresses 12 months after the survey ends, email addresses earlier if you withdraw consent; ratings that do not relate to a person are kept. Contact-list entries until you object or the purpose ends.

Deleting your account: under Settings → Privacy or by email to info@anamosa.ai. Your account is closed at once, connected email accounts are disconnected, and after 30 days we delete the account with all content. Until then we only store your data; you can download it, keep the account or delete it immediately.

8. Data security

Data is transmitted in encrypted form (TLS). We store the access credentials of connected email accounts in encrypted form, and access rules in the database limit each account to its own data. Changes and exports made through our administration console are logged.

The authority responsible for us is the Hessian Commissioner for Data Protection and Freedom of Information (Der Hessische Beauftragte für Datenschutz und Informationsfreiheit), Wilhelmstraße 7, 65185 Wiesbaden, Germany (email: poststelle@datenschutz.hessen.de, telephone: +49 611 1408-0).

You can object to processing for direct marketing, such as invitations to the survey or the beta, at any time without giving reasons (Art. 21(2) GDPR). An email to info@anamosa.ai is enough.

We update this privacy notice when the processing changes; the version published here applies (last updated: October 2026).
